Pharmacy POS for Pharmacies and Chemists in Kenya

A pharmacy needs stock records that distinguish the product, pack and batch being handled. Tilloza supports pharmacy and chemist sales, inventory, supplier purchases and business reporting, with batch and expiry tracking to help staff review stock. It is business software, not clinical or prescribing software.

Keep receiving, stock review and counter sales connected

  1. 1.

Receive stock with its batch details

Record supplier purchases and check the delivered product, pack size and quantity. Capture the relevant batch and expiry information so later stock reviews start from the goods actually received.

  2. 2.

    Review quantities and expiry dates

Check available stock, low-stock alerts and expiry information. Use physical counts and stock adjustments to reconcile differences, and review date-sensitive products as part of the pharmacy’s stock procedures.

  3. 3.

Record sales in the configured unit

Use the correct product and selling unit at the counter. Where packs are sold in smaller units, apply the configured conversion. Record the sale and payment through the pharmacy’s business workflow.

Distinguish products, pack sizes and batches

Products with similar names can differ in strength, formulation or pack size. Prepare separate, clear catalogue records for the items your pharmacy stocks. Barcode sales support selection of the recorded item, while batch tracking provides additional stock detail.

Supplier management and purchase receiving connect incoming stock to its source. Check the actual delivery before entering quantities and dates; accurate batch records depend on accurate receiving information.

Make expiry review part of stock management

Tilloza supports batch and expiry tracking, including specialist stock-rotation and expired-sale controls. Configure the FEFO workflow, which prioritizes the earliest expiry, and expired-sale blocking to fit your stock process during onboarding.

Use expiry information alongside physical inspection and your pharmacy’s procedures. Software stock controls do not establish clinical suitability or replace the professional checks required when supplying a medicine. Review how returns and recalled stock are handled with the team before rollout.

Keep pack and smaller-unit quantities consistent

Different selling units and purchase-unit to selling-unit conversion are supported. Where your pharmacy appropriately sells a smaller quantity from a pack, configure the actual relationship between the purchase pack and the selling unit.

Check opening quantities and receiving records against that setup. Use stocktaking and adjustments to investigate differences rather than correcting a balance without understanding the unit or transaction involved.

Review purchasing needs and branch availability

Low-stock alerts and inventory reports help staff identify products to review for replenishment. Supplier records and purchase history provide context when preparing the next order.

For pharmacies with several branches, stock visibility and transfers help record goods moving between locations. Agree the batch, expiry and quantity checks staff should perform when preparing and receiving a transfer. Branch records support coordination without replacing a physical check of the goods.

Keep counter payments separate from clinical decisions

M-Pesa STK Push supports payment prompts, and eTIMS integration supports electronic invoicing when configured. Customer records and purchase history support business enquiries about earlier transactions; they should not be presented as a clinical record or prescribing recommendation.

Tilloza is positioned here as sales, inventory and business-management software. This page makes no claim of PPB approval, clinical decision support or insurance integration. Selling requires an internet connection; offline selling and weighing-scale integration are not supported.

Prepare for your setup

Prepare product descriptions, pack sizes, supplier records, opening quantities and batch/expiry information. Bring an example of the stock-rotation, expired-sale and return workflows your team needs to follow. Agree units, branch access and module requirements, then check the setup with sample stock and sales before using it for day-to-day business.
