1. Introduction
Tilloza POS is designed to help businesses manage sales, inventory, customers, payments, and business operations efficiently.
The platform includes optional integration with the Kenya Revenue Authority (KRA) Electronic Tax Invoice Management System (eTIMS) to assist businesses that are required to issue tax-compliant invoices.
This policy explains how eTIMS functionality works within Tilloza and outlines the responsibilities of both Tilloza Technologies Limited and its customers.
2. eTIMS Integration Availability
Tilloza is eTIMS-ready and provides tools that allow eligible businesses to connect their KRA-approved eTIMS credentials to the platform.
eTIMS integration is:
- Optional
- Configurable by the business owner
- Available only after proper setup and authorization
- Subject to KRA regulations and requirements
Applicable KRA requirements and business circumstances determine each business’s obligations. Integration settings do not remove those obligations; non-VAT status alone should not be treated as an exemption. Confirm your requirements with KRA or a qualified tax adviser.
3. Customer Responsibility
The customer remains solely responsible for:
- Determining whether their business is required to use eTIMS.
- Obtaining and maintaining valid KRA registrations.
- Applying for any required KRA approvals.
- Providing accurate tax information.
- Maintaining valid eTIMS credentials and certificates where applicable.
- Ensuring that invoices generated comply with applicable tax laws.
Use of Tilloza does not transfer any tax, accounting, or regulatory responsibilities to Tilloza Technologies Limited.
4. Platform Functionality
When eTIMS integration is enabled and correctly configured, Tilloza may assist businesses by:
- Submitting invoice data to KRA systems.
- Generating invoice references returned by KRA.
- Storing invoice records within the platform.
- Displaying tax-related information on receipts and invoices.
- Supporting reporting and audit preparation activities.
Actual functionality may vary depending on KRA requirements, API availability, and the customer's subscription package.
5. Accuracy of Submitted Information
Tilloza transmits information based on data entered by the customer.
The customer is responsible for ensuring the accuracy of:
- Product information
- Tax rates
- Customer details
- Invoice amounts
- Business registration details
- VAT information
Tilloza is not liable for errors resulting from inaccurate or incomplete information supplied by the customer.
6. Service Availability
eTIMS services depend on third-party systems outside Tilloza's control, including:
- KRA systems
- Internet connectivity
- Government infrastructure
- External APIs and services
Temporary interruptions, maintenance periods, or outages affecting these services may impact invoice submission or synchronization.
Tilloza does not guarantee uninterrupted availability of third-party services.
7. Changes to KRA Requirements
Tax regulations, eTIMS specifications, and KRA technical requirements may change from time to time.
Tilloza may update its software to accommodate such changes; however:
- Implementation timelines may vary.
- New requirements may require customer action.
- Certain features may change or become unavailable due to regulatory updates.
Customers are encouraged to stay informed regarding KRA requirements applicable to their businesses.
8. No Tax or Legal Advice
Information provided through Tilloza, including reports, invoice data, tax calculations, or compliance tools, is provided for operational purposes only.
Tilloza does not provide:
- Tax advice
- Accounting advice
- Legal advice
- Regulatory compliance certification
Customers should consult qualified tax, accounting, or legal professionals where necessary.
9. Limitation of Liability
To the fullest extent permitted by law, Tilloza Technologies Limited shall not be liable for:
- Tax penalties
- Compliance violations
- Regulatory fines
- Rejected invoices
- Incorrect tax submissions
- Business losses resulting from customer configuration errors
The customer remains responsible for verifying all information submitted to KRA and maintaining compliance with applicable laws.
