From the supplier delivery to the next customer visit
- 1.
Receive and identify the supplies
Record purchases and the goods received against supplier records. Use clear product and pack-size descriptions, configure units and capture expiry information for products that need it.
- 2.
Record the requested quantity and payment
Select or scan the product and enter the quantity being sold. Apply the agreed retail, wholesale or customer-specific price, then record payment or the customer’s credit transaction.
- 3.
Review accounts and the next stock order
Check low-stock alerts, product movement and expiry information before ordering. Refer to customer history and balances when discussing a repeat purchase or recording a later payment.
Keep a mixed farm-supply catalogue clear
Feed, seed and other farm-supply products may arrive from different suppliers in different package sizes. Clear product descriptions and supplier records help staff receive the right item and locate it at the counter. Barcode sales are available for products using barcodes.
Purchases and stock receiving connect incoming supplies to inventory. Use stocktaking and adjustments to reconcile quantities when a physical check differs from the recorded stock.
Set up the units you buy and sell
Tilloza supports different selling units and conversion from a purchase unit to a selling unit. For products your business sells in smaller quantities, configure the actual relationship between the incoming pack and the quantity sold.
A feed bag and a kilogram quantity, for example, need a clearly defined conversion before transactions are entered. This is a stock-record workflow, not automatic weighing: Tilloza does not integrate with weighing scales. Confirm your quantity-entry process during setup and only split products where appropriate for your business.
Review expiry and seasonal stock needs together
Expiry tracking helps you include date-sensitive items in regular stock reviews. Record the relevant information and inspect the goods rather than assuming the system automatically selects a batch or blocks an expired sale.
Use sales history and low-stock alerts as inputs to your next purchase decision. Compare what moved during earlier stocking cycles with current quantities. These reports support your judgement; they are not a claim of automatic seasonal demand forecasting.
Keep repeat buyers and credit accounts in view
Customer purchase history gives staff a record when a buyer returns with an enquiry about an earlier sale. Retail, wholesale and customer-specific pricing support agreed buying arrangements without requiring every customer to be treated as the same pricing case.
Where your business sells on credit, customer balances and payments keep the account visible for review. Record later payments and discuss outstanding amounts using the customer’s account history. Your business still decides its credit terms and collection arrangements.
Coordinate branches, payments and invoices
Multi-branch management and stock transfers support agrovets with several outlets. Review where stock is available and record movement between branches separately from customer purchases.
M-Pesa STK Push provides payment prompts, and eTIMS integration supports electronic invoicing. Confirm module availability and complete the required setup before using the integrations. Tilloza requires internet access for selling; offline selling is not supported.
Prepare for your setup
Bring your product and supplier lists, opening quantities, purchase and selling units, and any available expiry records. Identify buyers with agreed prices or opening credit balances. Include the branches and staff who need access. This is a farm-supply sales and stock setup, not farm-production software or a claim that the POS provides veterinary advice or regulatory approval.
