POS System for Hardware Stores in Kenya
A hardware sale might start with a contractor’s quotation and finish with materials sold in several units. Tilloza helps connect quotations, customer pricing, supplier purchases and stock records, so your team can work from the same information at the counter and across your outlets.

A practical workflow for materials and contractor orders
- 1.
Receive materials in the purchase unit
Record the supplier delivery and check quantities against the goods received. Configure purchase and selling units to reflect how you buy and sell each product.
- 2.
Prepare the customer’s quotation
Create a quotation for the required tools or materials. Check product specifications, quantities, selling units and the applicable customer pricing before sharing it.
- 3.
Record sales and review stock movement
Record what the customer purchases and review the resulting stock position. Where goods move between branches, use a stock transfer so that location records reflect the movement.
Distinguish materials that look similar at the counter
A product name alone may not be enough to identify a fitting, fastener or length of material. Prepare clear catalogue entries for the specifications you sell, such as size, grade or pack quantity. Barcode scanning can then help staff select the intended item.
Stocktaking and adjustments provide a way to reconcile shelves and storage areas with recorded quantities. Low-stock alerts help draw attention to the lines you need to review with suppliers.
Buy in one unit and sell in another
Tilloza supports different selling units and purchase-unit to selling-unit conversion. This is useful when a supplier delivers a carton but customers buy individual pieces. Configure the conversion against the actual contents of that product’s carton.
For products sold in other quantities, agree the relevant unit and conversion during setup. Unit conversion is a stock and pricing configuration; it is not a connection to a weighing scale. Weighing-scale integration is not supported.
Handle quotations, agreed prices and customer balances
Contractors and repeat buyers may need a quotation before committing to an order. Tilloza supports quotations alongside retail, wholesale and customer-specific pricing, allowing your team to work with the agreed buying arrangement.
Credit and customer balances help keep outstanding amounts visible. Maintain customer records and purchase history so staff can refer to previous transactions when discussing the next order. Agree your own credit terms and review balances regularly.
Keep supplier purchases and branch stock connected
Record purchases and stock receiving against your supplier records. This provides a clearer basis for checking incoming materials and deciding what to reorder than relying on a delivery note disconnected from the inventory.
For hardware businesses with several outlets, branch visibility and stock transfers help account for materials moved between locations. Review each location’s stock before committing to a customer order.
Set up payment and invoice workflows for your counter
Use M-Pesa STK Push for customer payment prompts and eTIMS integration for electronic invoicing where configured. Review plan inclusions and onboarding requirements with the team; do not assume integrations or hardware are included in every package.
This page covers software for running a hardware store. If you are looking for receipt printers, scanners or POS devices, use the separate POS equipment page linked below.
Prepare for your setup
Bring a sample supplier delivery, your product list, selling units and a typical customer quotation. Identify which products need unit conversion and which buyers have agreed prices or credit arrangements. Include branch and staff requirements when comparing plans. Selling requires an internet connection.
